ARETE Research and Innovation, LLC

Version 1.0 · Last updated:

1. Who we are and what this policy covers

ARETE Research and Innovation, LLC ("ARETE", "we", "us") integrates accelerated computing for scientific discovery across the Americas. Our headquarters are in Miami, Florida, United States (601 Brickell Key Drive, Suite 901, Miami, FL 33131, USA), and we operate in São Paulo, Brazil. For the personal data described in this policy, ARETE decides why and how the data is used, which makes ARETE the controller of that data.

This policy covers personal data we collect when you visit our websites, fill in our forms, write or call us, message us on WhatsApp or social networks, attend our events, receive our materials or use our services and client portal. It does not cover other companies' websites that we link to. Read their policies.

2. Control your personal data

You can ask us to:

  • tell you whether we hold data about you, and give you a copy;
  • correct data that is wrong or incomplete;
  • delete your data, or anonymize it, when we no longer need it;
  • stop using your data for a purpose you object to, including marketing;
  • move your data to another provider, where the law gives you that right;
  • explain who received your data;
  • review a decision made only by automated means that affects you, where the law gives you that right.

If we use your consent, you can withdraw it at any time. Withdrawing does not change what we did before. Every marketing e-mail has an unsubscribe link that works in one click. Unsubscribing applies to all ARETE marketing, in every country.

To make a request, use the contact form on our website and start your message with "Privacy". We may ask you to confirm who you are before we act, to protect your data from someone else's request. We answer within the time the law of your country sets. Some records we must keep by law or to defend a legal claim; in that case we tell you what we keep and why.

3. We treat you equally

We do not treat you worse because you used any of these rights, because you declined marketing, or because you declined optional cookies.

4. Protect your privacy and your choices

If you believe we handled your data improperly, please write to us first, so we can fix it. You also have the right to complain to the data protection authority of your country (in Brazil, the Autoridade Nacional de Proteção de Dados, ANPD), or to a court. Annex A lists the laws we consider when we handle data from the countries where we work.

5. Visiting our websites and engaging with our content

What we collect. When you visit our websites we receive technical data your browser sends: IP address, device and browser type, language, pages viewed, time and the page that sent you. If you arrive from a campaign link, we also read the campaign tags in the address (called UTM tags).

Why. To show you the site in your language, keep it secure, understand which content is useful and tell which campaigns bring people to us.

Cookies. We use a strictly necessary cookie that remembers your cookie choice. Statistics cookies (Google Analytics) load only if you accept them. See section 12.

Content and events. If you read or download our materials, register for an event, webinar or roundtable, or answer a survey, we record that interaction together with your contact data. We use it to deliver what you asked for and to understand which topics interest you.

Chat and assistants. If we offer a chat on the site, we keep the conversation to answer you, improve the service and, if you ask for contact, route it to our team. Do not put sensitive data in the chat.

6. Contacting us and requesting materials

Forms. When you request a white paper or other material, ask for a Discovery Call or write to us, we collect the data the form asks for: usually your name, work e-mail, company or university, job title, country and city, and sometimes your phone number. We use it to send what you asked for, to answer you and to keep a record of the conversation.

Optional news and invitations. A separate box on our forms asks whether you agree to receive news, announcements and invitations from ARETE Research. The box is never ticked in advance, and the material is yours either way. If you tick it, we use your consent to send you these messages. If you do not, we do not add you to our newsletter or marketing programs.

Work e-mail. Some forms ask for a work or institutional address. We use it to confirm that the material goes to the person who asked and to connect you to your organization.

WhatsApp, social networks, e-mail and phone. If you write or call us on these channels, we record your contact data and the content of the exchange, so that someone at ARETE can answer. We do not record calls at this time. If that changes, we will update this policy and tell you at the start of the call.

Referrals. A client, a strategic partner or a manufacturer may recommend that we contact you. In that case we receive your name and work contact from the person who referred you, and we tell you who did when we first write to you, if the law requires it.

Events. If you register or attend, we collect registration data and attendance. If an event is run with a partner, the registration notice names the partner.

Why we may use your data this way (legal bases). Depending on the country: your consent; the need to answer your request or carry out a contract with you or your organization; our legitimate interest in answering business inquiries and in contacting professionals about our services, balanced against your rights and expectations; and our legal obligations.

7. Using our services and client portal

If your organization buys from ARETE, we collect the data needed to deliver, assist with and invoice the service: names, titles, work contact data, delivery and site data, technical contacts, approvals, signed documents and assistance requests. If we give you access to the client portal, we also keep sign-in data (work e-mail, one-time codes, session records) and logs of what was viewed or approved, to protect your account and show who approved what.

We use this data to perform the contract, to assist you and improve our services, to meet legal, tax and export-control duties, and to keep our records. We do not collect clinical or genetic data of patients or research subjects, and we ask clients not to send it to us.

8. Lead generation and enrichment

To offer our services to the right organizations, we build lists of organizations and professionals who work in science and research computing. We collect from public sources (institutional websites, publications, funding databases and professional profiles), from our clients and partners with their authorization, from events, and from what you tell us. We use business contact data and information about your role and your organization's field, and we contact you individually. When we first contact you we say who we are, where we found your details and how to ask us to stop. If you ask us to stop, we add you to a suppression list so that no ARETE channel contacts you for marketing again.

9. Artificial intelligence tools

We use software that relies on artificial intelligence to draft and classify messages, summarize conversations, search public sources and prepare internal analyses. A person at ARETE reviews what these tools produce before it is sent to you or recorded in your file. These providers process the text on our behalf, under contract and under our instructions. We do not use these tools to make decisions about you that have legal effects without human review.

10. Advertising and audience building

We may advertise our services on professional networks and search engines. For this, we may show ads based on your activity on our site (if you accept the cookies that allow it) or to a list of organizations or contacts, and we may tell the platform that someone who saw an ad submitted a form. We do this only with a legal basis, and not with data you asked us not to use. The platforms we use include LinkedIn, Meta and Google. You can manage ad preferences in each platform and refuse marketing cookies in our cookie preferences.

11. Opt-out preference signals

Some browsers can send a signal that tells websites you do not want your data used for advertising or sold or shared (for example, Global Privacy Control). Our site does not currently respond to these signals; to limit tracking, use the cookie preferences on our site and the settings of your browser and of each platform. We do not sell personal data.

12. Cookies and similar technologies

TypePurposeWhen it is used
Strictly necessaryRemember your cookie choiceAlways
Statistics (Google Analytics)Measure visits and understand which pages workOnly after you accept

Our banner asks for your choice the first time you visit and stores it with the date. You can change it at any time under "Cookie preferences" at the end of every page. Declining statistics deletes those cookies and stops measurement on the next page. We also use security tools to keep robots out of our forms (Cloudflare Turnstile), which read technical data from your browser for that purpose.

13. Children

Our websites and services are for professionals and organizations. We do not knowingly collect data from minors. If you believe a child sent us data, write to us and we will delete it.

14. International transfers

ARETE is based in the United States and works with people and organizations in Brazil, Mexico, Colombia, Chile and other countries of the Americas. Your data may be processed in the United States and in other countries where we or our service providers operate, which may have different data protection rules from yours. When the law of your country requires it, we use a legal mechanism for the transfer, such as your consent, standard contract clauses or another mechanism the law accepts. Our service providers include hosting and e-mail providers, analytics, telephony and customer-relationship tools, and companies that provide artificial intelligence tools. They process data under our instructions and under contract. We do not sell personal data.

15. How long we keep data

We keep data only as long as we need it for the purpose we collected it, and as long as the law requires.

CategoryRetention
Contacts who asked for materials or contact24 months without activity, then we delete or anonymize the data
Marketing contacts who consentedUntil you withdraw consent, or 24 months without activity
Contacts who asked us to stopWe keep the minimum needed (your address, on the suppression list) so we do not contact you again
Clients and contractsContract term plus the period the law requires, including tax and accounting records
Server and security logsOnly as long as needed for security and troubleshooting
Signed approvals and audit recordsThese records are kept as proof and cannot be altered; when you ask for deletion, we anonymize what we can and keep what the law or a legal claim requires

When the period ends we delete or anonymize the data.

16. How we protect your data

We limit access to people who need it for their work, protect sign-in with one-time codes, keep records of access, and use encryption in transit. No system is completely secure. If an incident affects your data, we notify you and the authorities as the law requires.

17. Changes to this policy

When we change this policy we publish the new version here with its date, and we keep earlier versions available on request. If a change affects how we use data on the basis of your consent, we ask you again.
